How-To Guides

Step-by-step walkthroughs

How to do every task in GymLedger — for gym owners, staff and members.

Gym owners

Track your expenses

Note down what the gym costs you to run — rent, electricity, equipment, repairs. Once you do, the Net Profit figure on your dashboard becomes real instead of just revenue.

Steps

  1. In the sidebar, tap Expenses.

  2. Tap Record Expense.

  3. Fill in Amount (₹) and Date. Both are required.

  4. Pick a Category — Rent, Utilities, Equipment, Maintenance, Marketing, Supplies, Staff Welfare or Miscellaneous.

  5. Pick a Payment Method — Cash, UPI, Card, Bank Transfer or Other.

  6. Vendor, Description and Notes are all optional. Vendor is who you paid, like BSES. Description is what for, like Monthly electricity bill.

  7. Tap Record Expense.

You land back on the list, newest first.

Finding things later

  • Search matches category, vendor and notes.

  • The period dropdown starts on This Month. It goes from Today through This Year and All Time, plus Custom Range — pick that and two date boxes appear for a from and a to date.

  • Above the table, a row of chips shows the total per category for whatever you have filtered to. Only categories with spending appear.

  • At the bottom, Total Spent for the current filter.

  • Export downloads whatever you have filtered to as a spreadsheet file.

Tap the pencil on a row to change an expense, the bin to delete it. Deleting cannot be undone.

Good to know

  • Staff salaries do not go here. The form says so under the Category box: "For staff salaries, use Payroll — not Expenses." Recording salaries in both places will double-count them. Payroll is under Staff → Payroll.

  • The category list is fixed. You cannot add your own. Anything that doesn't fit goes under Miscellaneous — use the Description box to say what it really was, since search looks at your notes.

  • The list is 25 rows a page, newest date first, with page numbers at the bottom. The numbers in the # column carry on across pages.

  • Total Spent follows your filter. Change the period and it changes. It is the total of what is on screen, not your all-time spending, unless the period is All Time.

  • Net Profit on the dashboard is this month's revenue minus this month's expenses. So an expense dated last month does not affect it, however recently you typed it in.

  • The "Recurring expense (monthly)" tick does nothing yet. It saves with the expense, but nothing repeats it and nothing shows it. Next month's rent still has to be entered by hand. Tick it or don't — it makes no difference today.

When it doesn't work

"Please enter an amount." The amount box is empty or zero. Date and Category always have something in them already, so amount is the usual culprit.

An expense you just recorded isn't in the list. The period filter starts on This Month every time you open the page. An expense you dated last month is filtered out even though you entered it a minute ago. Set the period to All Time and search for it.

Net Profit on the dashboard didn't move after recording an expense. Only expenses dated inside the current calendar month count towards it. Check the date you put on the expense.

Your category totals don't add up to Total Spent. They do — but only categories with something in them get a chip, so a filter with nothing in Marketing shows no Marketing chip at all rather than a zero.
