How-To Guides

Step-by-step walkthroughs

How to do every task in GymLedger — for gym owners, staff and members.

Gym owners

Read your dashboard

Dashboard is the first thing you see when you log in. Four big numbers, five smaller ones in a strip beneath them, two charts, and a list of what has been happening. Nothing here is typed in — every figure is worked out from the members, payments, expenses and sessions you have already entered.

The four that lead are Total Members, Active Members, Revenue This Month and Net Profit. Tap any card, large or small, to jump to the page behind it. Hover over one to see a one-line explanation of what it counts.

What each number means

CardWhat it counts
Total MembersEveryone ever registered, including expired.
Active MembersMemberships still valid and not ending in the next 7 days — those are counted under Expiring Soon instead.
Expired MembersMemberships whose end date has already passed.
Expiring SoonMemberships ending within the next 7 days.
Revenue This MonthCompleted payments dated in the current month.
Expenses This MonthExpenses dated in the current month.
Net ProfitRevenue this month minus expenses this month.
Active StaffEveryone in your staff list.
Renewal RateOf the members who expired in the last 90 days, the share who paid again within 30 days of expiring.

Under most cards a small line compares this month to last — ↑ 12% vs last month. In your first month there is nothing to compare against, so it shows what came in instead — +₹32,400 this month.

The rest of the page

Revenue — Last 6 Months and New vs. Expired — Last 6 Months are the two charts. Hover a point or a bar for the exact figure.

Recent Activity mixes the last 20 things that happened, newest first, each tagged New Member, Payment or Session. Tap a member or payment entry to open it. Sessions are not tappable.

Quick Actions on the right: Add New Member, Record Payment and View Renewals. The first two open a short form right there so you don't leave the page.

Good to know

  • Active, Expiring and Expired are worked out from dates, not set by you. There is no switch to make someone Active. A membership is Expired once its end date has passed, Expiring in the last 7 days before that, and Active any earlier. If you want to change someone's status, change their expiry date — the usual way is to record their renewal payment or extend their membership on their page. See Understand member status.

  • A member with no expiry date is not counted as Active. They show as No plan, and they are in Total Members but not in Active Members. If the two numbers are further apart than you expect, filter the Members page by No plan.

  • "Active Staff" counts everyone in your staff list, whether their status is Active or Inactive. The card is named more precisely than it behaves — the number to trust for who is actually working is the Staff page with the status filter set to Active.

  • Revenue only counts payments marked Completed. A payment left as Pending does not show, even after the money has arrived. That is the single most common reason revenue looks too low.

  • Net Profit does not include staff salaries unless you have also recorded them as expenses. It is only Revenue minus what is on the Expenses page.

  • Renewal Rate shows a dash when nobody has expired in the last 90 days. That is not an error — there is nothing to work the percentage out from. It also reads a dash once everyone who lapsed has either come back or lapsed more than 90 days ago.

  • The setup checklist at the top disappears on its own once you have a plan, a member, a payment, a staff member and your gym location saved. You can also dismiss it, and it stays dismissed on that device.

  • The Expiring Soon and Expired cards both go to the same place — your renewals list.

When it doesn't work

Everything shows a dash and "No members yet". That is the empty-gym state, shown when you have no members and no payments at all. Add a member and it fills in.

Revenue This Month is lower than what you actually collected. Check the Payments page for anything still marked Pending. Only Completed payments count. Note the word is Completed, not Paid — filtering for "Paid" will give you an empty list and ₹0.

Revenue jumps on the 1st and looks wrong. It is a calendar-month figure that resets each month. The chart alongside it shows the last six months, which is a better read on the trend.

Recent Activity shows old members as if they just joined. The New Member entries are ordered by the join date you entered, not by when you typed them in. Backdate a member's join date and they will sit further down the list — or, if you backdated by mistake, they may not appear at all.

A number on a card doesn't match the page it opens. The dashboard loads all its figures when the page opens. If you have had the tab open a while, refresh before comparing.
