Refund a payment
When you hand money back to a member, record it as a refund on the payment it came from. The original payment stays as it was; the refund is its own record, and it comes off your revenue for the month you paid it back.
Steps
Open Payments and tap the payment.
Tap Refund.
In Record a refund:
Amount refunded (₹) — the full payment by default. Lower it for a part refund.
Date and Paid back by — when and how the money went back.
Reason — optional, like
Moved city.If the payment sold an add-on, tick Also cancel the add-on this paid for to end it.
Tap Record refund.
The refund shows on your Payments page as a minus amount, like −₹1,500. The original payment now shows how much of it has been Refunded.
Good to know
Refund, delete or cancel — pick the one that matches what happened.
Money went back to the member → Refund.
The payment was entered by mistake → delete it (see Fix a payment entered wrong).
The member stopped using an add-on and keeps the money's worth → Cancel on the add-on.
You can refund in parts, up to the amount of the payment in total.
A refund has no receipt number and no WhatsApp message goes out for it.
To undo a refund, delete the refund — open it from Payments and tap Delete. The original payment's refunded amount goes back down.
A payment that has a refund cannot be deleted. Delete the refund first.
Deleting a payment that sold an add-on asks what to do with the add-on: delete the payment only, or delete it and cancel the add-on too.
When it doesn't work
There is no Refund button. The payment is already fully refunded, is itself a refund, or is not Completed.
The Record refund button stays greyed out. The amount is empty or more than is left to refund. Part of this payment may have been refunded already — the line under the title says the most you can still refund.
