How-To Guides

Step-by-step walkthroughs

How to do every task in GymLedger — for gym owners, staff and members.

Gym owners

Change your gym settings

Settings is one long page of separate boxes. Each box saves on its own — the button at the bottom of a box only saves that box, so changing two things means tapping two save buttons.

Tap your name at the bottom of the sidebar, then Settings.

On a phone, tap More in the bottom bar, then Settings.

What each section does

Gym Information

Gym Name, Contact Phone, Contact Email and Currency — the four choices are INR (₹), USD ($), EUR (€) and GBP (£). Tap Save Changes.

Appearance

One switch between dark and light mode. It applies as you tap it — there is no save button here.

Attendance

  • Auto-checkout after — how long a member's visit stays open before the app closes it for them. Between 30 and 480 minutes; 120 unless you change it.

  • Gym Operating Hours — Continuous (single block) for one open-to-close stretch, or Split (morning + evening) for two, each with its own label and times.

  • QR Code Mode — Dynamic (auto-refresh) or Static (printed QR). Dynamic lets you choose Refresh every 15, 30 or 60 seconds. Static lets you choose Expires after, from 1 day to 1 year. See Set up QR check-in.

Tap Save Attendance Settings.

Staff Clock-In Location

Stops staff clocking in from home. Stand inside your gym, tap Use My Current Location, allow your browser to know where you are, pick an Allowed radius — 50, 100, 200 or 500 metres — and tap Save Location. Staff must be inside that circle to clock in or out by location.

Security

Change your own password. Type your Current Password and a New Password of at least 8 characters, then tap Change Password.

Feature Flags

Switches for optional features, on straight away with no waiting. There is currently one: CSV Export, which puts an Export button on the Members page.

Good to know

  • Currency changes the symbol, not the amounts. Switch from ₹ to $ and a ₹5,000 payment becomes $5,000. Nothing is converted. There is almost never a reason to change it.

  • Gym Name is used in the messages sent to your members. Leave it blank and they are told about "your gym" instead of yours by name. Worth filling in.

  • Auto-checkout is what closes members' visits, so the "in gym now" count only makes sense if this matches how long people actually stay.

  • The location is captured from the device you are holding. Do it standing in the gym, on your phone — doing it at home saves your home. There is no map to drag a pin on.

  • Saving Attendance settings is also what turns on the live "in gym now" count on Member Check-Ins. If you have never saved that box, the count doesn't appear.

  • The theme is saved on the device you are using, so your phone and the front-desk computer can differ.

When it doesn't work

You changed something and it went back to the old value. Each box has its own save button and you probably tapped a different one. Save Changes saves gym information only. Save Attendance Settings saves attendance only. Save Location saves the location only.

"Could not get location. Allow location access and try again." Your browser is blocking location. Allow it for the site in your browser settings and tap Use My Current Location again. On a phone, check location is on for the whole device too.

Save Location is greyed out. No location has been captured yet — the box says "No location set yet. Click below while at your gym." Tap Use My Current Location first.

"New password must be at least 8 characters." Exactly that — make it longer. If it says your current password is wrong, that is your GymLedger owner password, not your gym's WiFi or anything else.

Gym Operating Hours don't seem to stop anyone. They don't. They record when you are open — the app does not refuse check-ins outside them.
