How-To Guides

Step-by-step walkthroughs

How to do every task in GymLedger — for gym owners, staff and members.

Gym owners

Create a membership plan

A plan is a length and a price — Monthly at ₹1,000 for 30 days, Quarterly at ₹2,700 for 90. Once a plan exists, adding or renewing a member on it fills in the fee and the expiry date for you.

Before you start

Do this before you add any members. Plans are what let the app work out expiry dates, and a member added without one never expires and never appears in Renewals.

Steps

  1. Go to Plans in the sidebar.

  2. Tap New Plan.

  3. Fill in the three boxes, all required:

    • Plan Name — what you call it. This is what members and staff will see: Monthly, Quarterly, Annual, Students.

    • Duration (days) — how many days the membership lasts. 30 for a month, 90 for a quarter, 365 for a year.

    • Price (₹) — what you charge for it.

  4. Tap Create Plan. A green "Plan created." appears and the plan is on the list.

Good to know

  • Duration is in days, not months. There is no calendar-month option. A "monthly" plan is whatever number of days you decide — most gyms use 30. Whatever you enter is added to the member's start date exactly.

  • Price is the plan's full price. For a one-off discount, use the Discount box when you add a member (Payment at Admission) or renew one — the plan keeps its price. See Give a discount. An offer that runs for weeks is easier as its own plan.

  • A price of 0 is allowed. That is how you make a free or trial plan that still has a proper expiry date on it. A duration of 0 is not allowed.

  • Nothing stops two plans having the same name. Both will appear, and you will not be able to tell them apart in the dropdowns. Keep names distinct.

  • The order of the list is fixed and unrelated to price or length. You cannot drag plans around or sort them. If order matters to you, put it in the name — 1 Month, 3 Months, 12 Months.

  • Creating a plan changes nothing about your existing members. Plans only apply to people when you assign them.

  • Plans are used in three places: the Add New Member form, the Renew Membership tab when taking a payment, and the plan dropdown on Edit Member.

  • Personal training packages are not plans. Those live under Add-ons and are counted in sessions, not days.

When it doesn't work

  • The Create Plan button does nothing. One of the three boxes is empty — they are all required. The empty one will be outlined.

  • "Failed to create plan. Please try again." Nothing was saved. Try again; if it keeps failing, reload the page and sign in again.

  • You put 1 in Duration (days) by mistake and saved. Nothing breaks, but any member put on that plan expires the next day. Edit the plan — and check whether anyone was already added on it, because fixing the plan does not fix them.

  • You entered the monthly price on a yearly plan. Same thing: fix the plan, then check who is already on it. Existing members keep the price they were charged.

  • The plan is not appearing in the Add Member dropdown. Reload the page. The list of plans is fetched when the form opens.

  • "Failed to load plans. Please refresh." The list could not be fetched. Reload the page.
