How-To Guides

Step-by-step walkthroughs

How to do every task in GymLedger — for gym owners, staff and members.

Staff

Why you can't see something in the staff app

The staff app shows different things to different people at the same gym. Here is why, and what to do about it.

Good to know

  • Your gym owner decides, one thing at a time. They tick boxes against your name — view members, log sessions, view your own payroll, and so on. Two trainers at the same gym can end up with different tabs.

  • Two things are always yours: Attendance and Check In. Clocking in and seeing your own hours never depends on permission.

  • The other three tabs each need something:

TabWhat your owner has to give you
    ClientsView members
    SessionsView sessions
    PayrollView their own payroll
  • Logging a session needs a second one — Log and edit sessions. You can have Clients and still not be able to save a session.

  • When you open something you do not have, the app says:

No access to <the thing> Your gym owner decides what each staff account can see. Ask them to enable it for you if you need it.

That is the whole answer. You cannot give yourself access, and nothing you type will change it — ask your gym owner.

  • The staff app does not have everything the owner's app has. There is no payments screen, no member list for the whole gym, no plans, no expenses and no gym settings in the staff app, no matter what you are given.

When it doesn't work

  • A tab was there for a moment and then vanished. When the app opens it shows every tab while it works out what you are allowed to see, then hides the ones you do not have. Nothing is broken.

  • Your gym owner just gave you access and you still cannot see it. It takes about a minute to reach you. Close the app and open it again, or switch to another app and back — the staff app rechecks when you return to it.

  • You have the tab but the screen says no access anyway. Your account may have been set to inactive. Ask your gym owner to check your staff record.

  • A banner says "This gym's GymLedger plan has ended…" The gym's own GymLedger subscription has run out. You can still clock in and look at everything, but nothing new can be saved. Ask your gym owner to renew.

  • You can see a tab but every action fails. Viewing and changing are separate. Ask your gym owner which of the two they turned on.

  • You need something the staff app simply does not have — taking a payment, adding a member, changing a plan. Those live in the owner's app, which is a different site. Ask your gym owner to do it for you.
