How-To Guides

Step-by-step walkthroughs

How to do every task in GymLedger — for gym owners, staff and members.

Staff

Check your own pay

Every month your gym has recorded paying you, with the amount, the date and how it was paid.

Before you start

You need the View their own payroll permission from your gym owner. Without it there is no Payroll tab, and the screen says:

No access to payroll Your gym owner decides what each staff account can see. Ask them to enable it for you if you need it.

All three starting points — Trainer, Receptionist and Manager — include it.

Steps

  1. Tap Payroll along the bottom.

  2. The two boxes at the top show Months recorded and Total received for the year on screen.

  3. Use ‹ and › to change year.

  4. Below, each month is a card: the month name, a Paid badge, the amount in ₹, the date it was paid and how — Paid on 5 Aug 2026 · Cash — plus any note your gym owner added.

Good to know

  • You only ever see your own. Even if you were sent a link with somebody else's name in it, the app answers with your rows and nobody else's. Colleagues cannot see yours either.

  • A month appears here only after your gym owner has recorded paying you. Nothing shows for the month in progress, and nothing shows for a month they have not settled yet. An empty list does not mean you earned nothing.

  • The app works out the amount, and your gym owner confirms it when they mark the month paid. They can adjust it at that point — for an advance or a deduction, say — and the figure here is what they recorded.

  • How the app works it out depends on how you are paid:

    • Fixed — your agreed monthly amount.

    • Hourly — the hours you were clocked in that month, times your hourly rate. A shift you never clocked out of adds nothing.

    • Per session — the sessions you completed that month, times your per-session rate.

    • PT share or PT bonus — on top of a fixed or hourly salary, a trainer can get a share of each completed PT package session, or a flat amount per completed session.

  • If your pay changed during the year, each month uses the rate that was in force that month. A pay rise does not reprice months already paid.

  • So if you are paid per session or get PT pay and the amount looks low, the answer is almost always in Sessions — a booked session you never marked complete does not earn.

  • Your rates are not shown in the staff app. Ask your gym owner if you need them.

  • Total received adds up only the months on the year you are looking at.

  • › stops at the current year.

When it doesn't work

  • There is no Payroll tab. You do not have View their own payroll. Ask your gym owner to enable it for you.

  • "No payroll records for <year>." — Your gym owner has not recorded any payments to you in that year yet. Check the previous year with ‹ before assuming something is wrong, then ask them.

  • Last month is missing but you were paid. Being paid in cash at the gym and it being recorded in the app are two different things. Ask your gym owner to record it.

  • The amount is lower than you expected and you are paid per session or get PT pay. Open Sessions, switch to that month, and count the Scheduled badges. Those are sessions you did but never marked complete, and they do not count. Marking them complete now will not change a month already recorded — ask your gym owner to correct it.

  • The amount is wrong in some other way. You cannot change anything on this screen. Take the month and the figure to your gym owner; they hold the rates.
