How-To Guides

Step-by-step walkthroughs

How to do every task in GymLedger — for gym owners, staff and members.

Staff

Log or schedule a training session

Record a session you have just finished, or put one in the diary for later, from the client's own page.

Before you start

You need two things from your gym owner: View members, so you can open the client, and Log and edit sessions, so you can save. The Trainer starting point includes both.

Without Log and edit sessions the buttons still appear, but saving fails with Failed to save session. Without View members the client's page never loads at all. In either case, ask your gym owner to enable it for you.

Steps

To record a session you have finished:

  1. Tap Clients, then tap the client.

  2. Tap + Log Session.

  3. Pick the Date. You cannot pick a future date here.

  4. Pick the Duration — 30 min, 45 min, 60 min, 75 min, 90 min or 2 hours.

  5. Add Notes (optional) if you want, e.g. increased squat to 80 kg.

  6. If the client has no PT add-on with you, tick No PT package — this is a trial or a pay-per-session visit. The button stays grey until you do.

  7. Tap Log Session. A message says Session logged and it appears in the list below.

To book one for later:

  1. On the client's page, tap + Schedule.

  2. Pick the Date — today or later; you cannot schedule into the past.

  3. Pick the Duration, add notes, and tap the button at the bottom. A message says Session scheduled.

  4. The session appears in the list with a Scheduled badge.

When that booked session happens:

  1. Open the client and find the session with the Scheduled badge.

  2. Tap Mark Complete. A message says Session marked complete and the badge goes.

Good to know

  • Both buttons open the same form, and the button at the bottom of it reads Log Session either way. The title at the top of the form is what tells you which one you are in — Log Session or Schedule Session.

  • A logged session uses up one from your client's PT add-on straight away. A scheduled one uses it up when you tap Mark Complete. The N done figure and the bar on the client's page move as soon as it saves.

  • If the client has two PT packs with you — say the owner renewed before the old one ran out — the session goes against the one that ends first.

  • A session you tick as a trial or pay-per-session visit does not touch any package.

  • If you are paid per session, or get a PT share or bonus, only sessions marked Completed count towards your pay. Scheduled ones do not, until you mark them complete.

  • Today's booked sessions also show at the top of your Attendance screen.

  • The client's page shows your last 10 sessions with that person. The full month is under Sessions.

  • You cannot edit or delete a session from the staff app. Only your gym owner can.

When it doesn't work

  • "Failed to save session." — Usually the Log and edit sessions permission. Ask your gym owner to enable it for you. If they say you already have it, close the app and open it again — a permission that was just turned on can take up to a minute to reach you.

  • "This gym's GymLedger plan has ended…" — The gym's own subscription has run out, so the app can show records but not save new ones. You can still clock in. Ask your gym owner to renew.

  • The client's page sits on "Loading..." forever. You do not have View members, so the app cannot look the client up. Ask your gym owner to enable it.

  • The date picker refuses the date you want. Log Session will not accept a future date and Schedule will not accept a past one. If you are recording a session from last week, make sure you tapped + Log Session, not + Schedule.

  • The no-package tick appears but the client has a package. The package is with another trainer, has ended, or has no sessions left on the date you picked. Ask your gym owner to check it before you log.

  • You logged the session against the wrong client. You cannot remove it yourself. Ask your gym owner to delete it from their Sessions page.
