How-To Guides

Step-by-step walkthroughs

How to do every task in GymLedger — for gym owners, staff and members.

Staff

Clock in and out with the gym QR code

Record that you turned up, and record when you left, by scanning the QR code on the screen at your gym.

Before you start

Your gym owner has to be showing the Staff Clock-In QR on a screen at the gym. There are two QR codes on that page — the other one is the Member Check-In QR and it will not clock you in.

Steps

  1. Open the staff app and tap Check In along the bottom.

  2. Allow the camera when your phone asks.

  3. Point the camera at the Staff Clock-In QR on the gym screen. It reads by itself — there is no button to press.

  4. You see Clocked in! and Your attendance has been recorded for today.

  5. At the end of your shift, tap Check In and scan the same QR again. This time it says Already clocked in with a Clock Out Now button.

  6. Tap Clock Out Now. You see Clocked out! and your shift is saved.

Good to know

  • The QR code changes every few seconds. It only works for about a minute after it appears, which is why a photo of it or a screenshot from yesterday will not work.

  • The staff QR is always on a screen — there is no printed version. Your gym may print a QR for members, but that printed one cannot clock staff in.

  • You clock in once a day. Scanning again the same day always offers to clock you out, never to clock in twice.

  • You can also just tap the QR code's link. If you scan it with your phone's own camera app it opens the staff app and clocks you in. If you are not logged in it asks you to log in first, then carries on.

  • The app quietly tries to read your location while you clock in. If your phone refuses or takes too long it gives up after 5 seconds and clocks you in anyway.

  • Scanning only works for your own gym's code.

  • Everything you record here shows up under Attendance.

When it doesn't work

  • "Check-in failed. The QR code may have expired." — The code on the screen moved on before your scan went through. Scan the fresh one. If it keeps failing, check you are pointing at the Staff Clock-In QR and not the member one — the member code always fails for staff.

  • "Camera unavailable" — Your browser is blocking the camera. Allow camera access in your browser settings and open Check In again. On iPhone, the staff app must be open in Safari or Chrome, not inside another app's browser.

  • Nothing happens when you point at the code. Move the phone 20–30 cm back, hold steady, and make sure the whole square is inside the frame with the four corner marks.

  • You clocked in but forgot to clock out. The day still shows in Attendance with the time reading Active and no total hours. You cannot fix that yourself — ask your gym owner to correct the day for you.

  • You are at the gym but the owner is not showing the QR. There is nothing to scan. Ask them to open the QR screen, or ask them to record your attendance by hand.
