Track staff attendance
A month-at-a-glance grid of who worked which days. Staff mark themselves in by scanning the Staff Clock-In QR or from their own portal, and you can fill in or correct anything by hand.
Steps
In the sidebar, open Sessions → Staff Attendance.
Use ‹ and › to change month. The grid has one row per staff member and one column per day.
Each cell shows a letter, and the legend below the grid explains them:
P = Present
A = Absent
H = HalfDay
L = Leave
O = Off
A dot means no record for that day.
Tap any cell to open that person's day. You see each shift with its clock-in and clock-out times and the hours worked, and you can edit or delete them.
To add a record, tap the empty cell for that day, or use + Add Record at the top and choose the staff member and date yourself.
When adding or editing you set Status, Clock In, Clock Out and Notes. Both times are a date and a time together.
Good to know
A shift still running shows as "Active" instead of a clock-out time, and its hours count as zero until it is closed.
A day can hold more than one shift. Someone who works morning and evening gets two entries, and the cell shows their combined hours when you hover it. The letter on the grid comes from the first shift of the day.
Only Active staff appear on the grid. Set someone to Inactive and their row goes, including for months they actually worked.
For hourly staff, these hours are their pay. Payroll multiplies the hours clocked in that month by their hourly rate, so a shift left open or edited here changes what they are owed. Fixed salary and per-session pay ignore this grid — marking someone Absent all month does not reduce a fixed salary. Change the amount when you mark the month paid if you dock pay for absence.
Leave and Off are yours to define. The app treats them the same as each other — both are just labels for a day nobody worked. Use whichever matches how you talk about it.
When it doesn't work
The grid is empty except for dots. Nobody has clocked in and nothing has been entered by hand. Staff clock in by scanning the Staff Clock-In QR — see Set up QR check-in — or from the Attendance tab in their own portal. Until one of those happens, you have to fill the grid in yourself.
A staff member has no row. Their Status is Inactive. Only Active staff are listed. Set them back to Active on their profile if you need to record days for them.
A day shows P but zero hours. The shift has a clock-in and no clock-out — the entry says Active. Open the cell, edit the record and set a Clock Out.
You changed a status and the letter didn't change. There is more than one shift that day, and the grid takes its letter from the first one. Open the cell and check every entry listed.
