Set up how a staff member is paid
Tell GymLedger how each person earns. This one setting is what payroll uses every month — without it, the person shows up as Not Configured and earns ₹0.
Steps
Open Staff → All Staff and tap the person's row to open their profile.
Tap Edit.
Scroll to Compensation and pick one of four:
Fixed Monthly Salary — the same amount every month, whatever they do.
Hourly Rate — an amount for every hour they are clocked in.
Per Session Rate — an amount for each PT session they complete.
None / Not set — no salary.
Fill in the amount that appears:
For Fixed, Monthly Salary (₹) — the whole month's pay, for example
25000.For Hourly, Hourly Rate (₹) — what one hour earns, for example
150.For Per Session, Per Session Rate (₹) — what one session earns, for example
500.
For a Trainer, Extra for PT sessions appears too — paid on top of their salary for every PT session they complete. Pick one:
A share of the session's price (%) — type
65and they keep 65% of each session's value and the gym keeps 35%.A fixed amount per session — type
200and every completed session adds ₹200, whatever the package sold for. ₹15,000 fixed and 20 sessions makes ₹19,000.Nothing extra — salary only.
Tap Save Changes.
Their Compensation card now shows the type and the rate, plus an Earnings figure for the month with arrows to step back through previous months. With a PT share, it also shows the month's split: the PT sessions they completed, what they were worth, and how much of that the trainer keeps and the gym keeps. With a fixed amount, it shows sessions × amount.
Good to know
Hours come from attendance. Hourly pay counts the time between clock-in and clock-out on each attendance record that month — the staff member's QR clock-in, or a record you added or corrected under Staff → Attendance. A shift with no clock-out counts as nothing until it is closed.
A session's value is its package price ÷ its sessions. A ₹12,000 package of 12 sessions makes each session worth ₹1,000, so a 65% share pays ₹650 per session. Only sessions logged against a package count — a session with no package has no price to split.
The fixed amount counts every completed session, with a package or without. The share only counts package sessions, because a session with no package has no price to split.
PT extras are on top of salary, never instead of Per Session. Per Session already pays for every session, so the box is hidden for it. For a trainer paid only for PT sessions, set the type to None and pick the extra.
Per Session only makes sense for Trainers. A per-session receptionist will always earn ₹0, because the count comes from PT sessions and only Trainers can be picked as the trainer on a session.
The amount is required once you pick a type. Choose Fixed with an empty salary box and the form refuses to save, and tells you which box it wants.
A new rate does not change past months. When you edit someone's pay, the form asks New pay applies from — this month unless you pick an earlier one. Months before it keep the rate they had: raise a trainer from ₹500 to ₹600 a session in October, and September still shows ₹500. Pick an earlier month only to correct a rate that was wrong.
Fixed salary is not pro-rated. Somebody who joined on the 25th shows the full month's salary. The app does not know about part-months, leave, or notice periods — adjust the amount yourself for that month if you need to.
None is a real answer. With no PT share, use it for a partner, a family member, or anyone you settle outside the app. They stay in the staff list and can still be assigned to members and sessions — they just never appear as owed money.
When it doesn't work
Your trainer shows ₹0 on the Payroll page even though they trained people. Per-session pay counts only sessions marked Completed with that trainer's name, dated inside the month you are looking at. A session left as Scheduled is not paid. Open Sessions → PT Sessions, filter by that trainer, and check the statuses.
Someone is missing from the Payroll list entirely. Two reasons. Their Status is Inactive — inactive staff never appear. Or their compensation is None / Not set, in which case they are further down the page under Not Configured, with a Configure → link that takes you to their profile.
The Monthly Salary box has disappeared. It only shows when the type is Fixed Monthly Salary. Switch back and it returns with your amount still in it.
