How-To Guides

Step-by-step walkthroughs

How to do every task in GymLedger — for gym owners, staff and members.

Gym owners

See what a trainer has been doing

Every staff member has their own page with their sessions, their members, and what they have earned. This is where you go before a pay conversation.

Steps

  1. Open Staff → All Staff.

  2. Tap the trainer's row.

Their page has, in order down the screen:

  • Contact, Employment, Specializations and Notes — the details you entered.

  • Compensation — how they are paid, plus an Earnings figure with ‹ and › arrows to step through months. For a per-session trainer it also spells out the sum, like 18 sessions × ₹500. A trainer with a PT share also gets it split out under Earnings: the PT sessions completed and what they were worth, what the trainer keeps, and what the gym keeps.

  • Performance (Trainers only) — three boxes: Sessions This Month, Sessions All Time, and Revenue Generated.

  • Assigned Members — everyone whose trainer is set to this person, with their plan, status and expiry date. View → opens the member.

  • Sessions — the actual list. This Month / All Time buttons above it, and two summary boxes showing completed sessions and total hours.

Good to know

  • Every number here counts only Completed sessions. Scheduled and Cancelled are ignored throughout — the performance boxes, the hours total, and the earnings figure.

  • Revenue Generated is not PT revenue. It is every completed payment, all time, from members who have this person set as their trainer — whatever those payments were for, membership renewals included. It is a rough measure of the book they look after, not what their training earned you, and it is not limited to the month shown above it.

  • Assigned Members is set on the member, not here. A member gets a trainer on their own page, so this list only fills up as you assign them. A busy trainer with no assigned members will show an empty list and ₹0 revenue while still having plenty of sessions.

  • The Sessions list shows every status. Unlike the summary boxes above it, the table lists Scheduled and Cancelled too, with a badge. Useful for spotting a pile of sessions that were never marked complete.

  • To dig into pay, use their payroll page instead. Tap them from Staff → Payroll for a session-by-session breakdown with rates, the year-to-date total, and every month you have paid them.

When it doesn't work

Performance boxes are missing. They only show for staff whose Role is Trainer. A manager or receptionist doesn't get them.

Sessions This Month says 0 but the Sessions list has entries. The list is showing All Time, or the sessions are Scheduled rather than Completed. Tap This Month and check the Status badges.

Revenue Generated is ₹0 for a trainer who clearly brings in money. Nobody has this person set as their trainer. Open a member, tap Edit, and set their trainer. The figure only counts members formally assigned to them.

The Earnings box isn't there at all. It only appears once a compensation type and an amount are saved. See Set up how a staff member is paid.
