How-To Guides

Step-by-step walkthroughs

How to do every task in GymLedger — for gym owners, staff and members.

Gym owners

Remove a member

Deletes a member's record. There is no undo and no archive — think before you use it.

Before you start

You usually don't need this. A member who stopped coming turns Expired on their own and drops out of your active count. Deleting is for genuine mistakes — a duplicate entry, a test record, someone entered under the wrong name.

Steps

One member

  1. Find them on the Members list, or open their page.

  2. Tap the bin icon on their row, or Delete at the top of their page.

  3. A box asks "Delete name? This cannot be undone." Confirm it.

Several at once

  1. On the Members list, tap Actions. Checkboxes appear.

  2. Tick the ones to remove. The header checkbox ticks everyone currently listed.

  3. Tap Delete *N*, and confirm the count in the box that appears.

Good to know

  • It cannot be undone. There is no bin to restore from and no export of what was deleted. If you might want the record later, leave them alone — an expired member costs you nothing.

  • Their payments stay. Deleting a member does not touch their payment history. Every payment they made is still on the Payments list under their name, and still counted in your revenue totals. This is deliberate — your books do not change because someone left.

  • Which also means the link back to them breaks. Open one of those payments afterwards and the "View Member →" link goes nowhere, because the person it points at is gone.

  • Their sessions, packages and check-ins stay too, for the same reason. You may see a familiar name in places after deleting them.

  • The header checkbox ticks the filtered list, not the whole gym. If you have searched or filtered first, only what you can see gets ticked. Read the count on the button before confirming — it is the honest number.

  • Deleting does not free the phone number for reuse checks, because there are no reuse checks. Adding the person back later is a normal Add Member.

  • A member who was invited to the member portal loses their access, since there is no membership left for them to look at.

When it doesn't work

  • "Failed to delete member. Please try again." Nothing was deleted. Reload and try once more.

  • "Some members could not be deleted. Please try again." A bulk delete part-succeeded. The list refreshes itself so what you see afterwards is the truth — check which ones are still there and delete those again. Do not assume the whole batch failed.

  • You deleted the wrong person. They cannot be restored. Add them again with Add Member and set their Expiry Date by hand to what it was. Their old payments are still on the Payments list, which is where you can look up their dates and amounts — but those payments will not reconnect to the new record.

  • Your revenue total didn't drop after deleting members. Correct, and intended. Payments are kept separately from members. If you also want the money gone, delete those payments individually from Payments.

  • The member is back after a refresh. You deleted a duplicate and are looking at the other copy. Check the phone number on both before deleting again.
