How to do every task in GymLedger — for gym owners, staff and members.

Add days to a membership without taking money

Extend Plan pushes an expiry date further out. It records no money. Use it for goodwill days, a gym closure, an injury break, or fixing a date that went in short.

If money is changing hands, you want Renew a membership instead.

Steps

One member

  1. Open the member from the Members list.

  2. Tap Extend Plan at the top of their page.

  3. Pick 1 mo, 2 mo, 3 mo, 6 mo or 1 yr, or type any number of days in the box. The line under it confirms what you picked.

  4. Tap Extend. A green "Membership extended by N days." appears and their expiry date moves.

Several members at once

  1. On the Members list, tap Actions. Checkboxes appear on every row.

  2. Tick everyone you want. Use the checkbox in the header row to tick the whole filtered list.

  3. Tap Extend Plan, choose the length, and confirm. The button tells you how many people it is about to affect.

Good to know

  • Days are added on top of what they already have. A member with 12 days left, extended by 30, ends with 42 — you are not resetting them to 30. This is the whole difference between Extend Plan and renewing.

  • Already-expired members are extended from today, not from their old expiry date. Someone 40 days expired, extended by 30, gets 30 days from today, not 10 days in the past. The modal says this too.

  • No payment is created. Your revenue under Payments does not move, and the member's payment badge is left exactly as it was. That is the point of this action — if you want the money counted, record a payment instead.

  • A member with no expiry date gets one. They are treated as expiring today, so extending by 30 gives them 30 days from today. This is a quick way to give a walk-in a proper end date.

  • The bulk version acts on who you ticked, not on your filter. Filtering to "Expired" and then hitting Extend Plan does nothing until you actually tick rows. Use the header checkbox to take the lot.

  • There is no undo. If you extend by the wrong amount, fix the date directly — Edit Member on their page has a plain Expiry Date field you can type into.

  • The number of days is what it says. 1 mo is 30 days, 2 mo is 60, 3 mo is 90, 6 mo is 180, 1 yr is 365. Calendar months are not counted; a 1 mo extension from 31 January lands on 2 March.

When it doesn't work

  • You extended and the expiry only moved a little. The member was expired, so the days were counted from today rather than from their old date. That is intended. Their total is now exactly the number of days you chose.

  • "Failed to extend memberships. Please try again." Nothing changed for anyone. On a bulk extend it is safe to just try again — but check a couple of members first, because a bulk extend applies one member at a time and a failure part-way through can leave some already done. Extending them twice is a real risk.

  • The Extend Plan button in the toolbar looks faded. No one is ticked. Tapping says so.

  • The member's badge still says Expired after extending. Reload the page. If it still says it, the new date is in the past — you extended an expired member by fewer days than you meant to, from today.

  • You meant to record the money too. Extending never does that. Go to Payments → Record Payment → Other Payment and enter it, or delete the extension by fixing the date and do a proper renewal instead.
