See who is due for renewal

Renewals is the one screen that tells you where next month's money is coming from. It lists every member whose membership has already run out or is about to.

Steps

  1. In the sidebar, open Members and choose Renewals.

  2. The list shows everyone who is Expiring or Expired, with a Days Left column — amber for days remaining, red for days already gone.

  3. Narrow it with the dropdown:

    • All — both groups together.

    • Next 7 Days — still in date, running out within the week.

    • Already Expired — the date has passed.

  4. Search by name or phone in Search members....

  5. For each person you have two buttons on the right:

    • 💳 takes you straight to renewing them, with the member already filled in.

    • 💬 sends them a WhatsApp reminder, if WhatsApp is switched on for your gym.

Good to know

  • This is the same list as the Members page, filtered. Nothing is separate; a member appears here purely because of their expiry date, and disappears the moment you renew or extend them.

  • "Expiring" means within 7 days. Someone whose plan ends in three weeks is not here yet. If you like to chase earlier than that, use the Members list and sort by the Expiry column instead.

  • Members with no expiry date never appear here. Anyone added without a plan reads No plan and never runs out, so they are invisible on this screen no matter how long ago they joined. If your renewals list looks suspiciously short, that is the first thing to check — look for the orange dots on the Members list.

  • The list is sorted by expiry date, earliest first, so whoever lapsed longest ago is at the top and the next person to run out comes right after the expired group. Use the Next 7 Days / Already Expired filter to split the two.

  • The old /dashboard/expiries address still lands here, so an old bookmark keeps working.

  • Search here is simpler than on the Members list — one name or one phone number, not several words at once.

  • The bell in the bottom-left corner is a shorter list, not this one. It only warns about memberships expiring today or tomorrow, plus payments left Pending for over a week.

  • 25 per page. If you have a long backlog of expired members, work through the pages.

About the 💬 reminder button

Sending WhatsApp is off by default and it is not something you can switch on yourself — ask us to enable it for your gym. Until then the button is still there, and pressing it will fail.

The strip above the list is honest about the state: it shows how many messages are left for the month, and if sending is not available it says so directly — for example "WhatsApp is not enabled for this gym, so 💬 will not send".

When it doesn't work

  • "No expiring memberships." Either genuinely nobody is due, or a filter is on. Set the dropdown back to All and clear the search box. If it is still empty and you know people are overdue, those members most likely have no expiry date at all.

  • Someone you renewed is still on the list. Reload the page. If they are still there, the renewal set their new expiry to a date that has already passed, or within the next 7 days — open the member and check the Expires date.

  • The 💬 button did nothing except show a red message. That message is the reason, and it is worth reading rather than retrying: "WhatsApp is not enabled for this gym" means it has to be switched on for you; "Member replied STOP" means that member opted out and cannot be messaged again; "Monthly message limit reached" means you have used the month's allowance.

  • A member has no 💬 button at all. They have no phone number saved. Add one from Edit Member.

  • Members are here who you know have paid. You recorded the payment as Other Payment rather than Renew Membership, so their expiry date never moved. See Renew a membership.
